SometimesMost drives never ask. When the form has "Why do you want to join us?" or the TPO asks for a letter, paragraph 1 of this template is the answer. Keep it ready.
RarelyNobody reads it there. Skip it, or paste the three paragraphs into the "message" box only if the box exists. Spend the time on the resume instead.
AlwaysThe email body is your letter. Priya decides in two lines whether to open the attachment. This is the case most off-campus applications are.
AlwaysThe employee forwards your letter with the internal referral. It is the only thing the hiring manager sees before your resume. Name the referrer in line one.
Rule: never send a letter that is longer than the resume, and never send one that could be about any company.
The 3-paragraph structure
Date, addressee, subject line, greeting. Then exactly three paragraphs, each with one job. Then a two-line close. 220 to 280 words, one page. Every letter in this pack follows it.
Test for the whole letter: cover the company name. If the letter still makes sense, it is too generic.

My main project is SplitEase, a bill-splitting web app that 40 students in my hostel use every month. I built the backend in Spring Boot and PostgreSQL, wrote the algorithm that settles a group's debts in the fewest transfers, and cut the average settlement from 11 payments to 4. The app is live (splitease.aaravsharma.dev), the code is on my GitHub with 60+ tests, and it has run without a crash since April.
I bring three things to the role: a stack that matches your projects, the habit of shipping working software with tests, and the ability to learn fast under a deadline (I picked up Spring Boot from zero in six weeks for this project). I have no active backlogs, and I am available to join from June 2027 at any Zenvia location.

I am a final-year B.Tech (Computer Science) student at XYZ Institute of Technology, CGPA 8.4, graduating in May 2027. I have used Nimbus Pay to split hostel expenses for two years, and your one-tap UPI settlement is the feature that made me want to build payment software myself.
The posting asks for Java, REST APIs and SQL. My main project, SplitEase, is exactly that: a bill-splitting web app used by 40 students in my hostel every month, with a Spring Boot and PostgreSQL backend and a settlement algorithm that cut the average group's payments from 11 to 4. 10 lines to never write
Priya has read each of these a thousand times. They tell her nothing, and two of them tell her you did not read the job post.
- "I am writing to express my keen interest in the esteemed position."Twenty words, zero information. Start with who you are and which role.
- "Your reputed organisation" / "your esteemed company"Name the company. If you cannot say one specific thing about it, do not apply yet.
- "I am a hardworking, sincere and dedicated individual."Everyone says it. Show one finished thing instead.
- "I am a quick learner."Replace with the proof: "picked up Spring Boot from zero in six weeks."
- "I have knowledge of C, C++, Java, Python, HTML, CSS, JavaScript, SQL, ML..."That is the resume's job. The letter gets one stack, matched to the post.
- "I would be a valuable asset to your team."The reader decides that. Give them a reason and let them.
- "Kindly do the needful." / "Please revert back."Office Hindi-English. Fine on WhatsApp, not here.
- "Although I have no experience..."Never open with an apology. Every fresher has no experience; you have a project.
- "I am open to any role in any domain."Reads as "I did not read the post". Name the role and the job ID.
- "Salary is not a concern for me." / "Expected CTC: as per industry standards"Do not raise money in a letter. If a form demands it, use the number for that company from Glassdoor or seniors.
How to send it
By email: the body is the letter
Paste the three paragraphs into the email itself, shortened to 120 to 150 words. Attach the resume as PDF, named Firstname_Lastname_Resume.pdf. Do not attach the letter as a second file; nobody opens it.
On a form or portal: attach the full page
When a careers page has an "upload cover letter" box, export the Word file as PDF (File → Save As → PDF) and name it Firstname_Lastname_Cover_Letter.pdf. Keep the full 250-word version there. For a referral, send the employee the PDF plus the resume in one email, so they can forward one message.
